Paradigm Liaison Services Overview
As we review our liaison services for continuous improvement, Paradigm focuses on key points of service provided before, during, and after the programs. Moving toward the 2019 Coordinated Response Exercise (CoRE), Coordinated Response and Excavator Exercise (CoRE-EX) and Excavator Pipeline Safety Programs, we want to share some of these highlighted points with you.
Program Set-Up
- Collect state and county participation forms
- Venue and catering department books and completes contracts
- Meeting materials are created: mailed and emailed program invitations, operator pages, program guides, posters, non-attendee materials, surveys, website updates, etc.
Stakeholder Contact and Venue Confirmation
- Mailed and emailed invitations sent six weeks prior to meetings and continue until RSVP is secured
- Phone calls are made at least two weeks before a program
- In addition to mailed, emailed, and personal communications, many other forms of contact are used to collect stakeholder RSVPs
- RSVP numbers are updated with venue and catering weekly, beginning one month before the meeting to ensure venue viability
Program Implementation
- Rosters are generated for electronic and paper sign-in
- Venue, catering, and audio/visual needs are handled with any last-minute changes managed
- Program surveys are completed and other materials are distributed
- A localized program is presented by a qualified team of former emergency response and industry professionals
- The presentation is followed by delivery of stakeholder documentation to Paradigm headquarters by week's end
Post-Meeting
- Immediately following the program an attendee list is delivered to sponsors
- Review operator follow-up requests and deliver to appropriate contacts
- Document attendance and compile completed surveys for database entry
- Deliver certificates of completion and surveys: retention survey and sponsor satisfaction
- Non-attendee documentation built six weeks after non-attendee mailing is delivered, allowing non-attending agencies to complete and return surveys and additional contact requests
- Roundtable for sponsors to offer more unique insights to program performance and enhance the continuous improvement discussions
Documentation
- Compliance documentation for audit assistance, with process overview
- Online documentation software is virtualized and can be easily accessed across teams
- Stakeholder attendance and invitation data, with summaries by meeting and county
- Summary compliance reports of capabilities surveys and effectiveness evaluations
- Exclusive Effectiveness Measurement and Compliance Reports consisting of anticipation modeling, survey baseline trends, and survey summaries
